Hook TV - Hi Definition Videoconferencing Instructions


Initial Setup
Place the cart in the room so the camera on the top of the unit can see the meeting participants and so the meeting participants can see the monitor.  Avoid placing the unit in such a way that the camera is aimed at a window.  If aiming the unit at a window is unavoidable, close the blinds to prevent the meeting participants from appearing dark. 

If you need to connect the conference system to a projector so you can display content, connect the VGA output cable (coiled up behind the monitor) to the projector input.

If you need to connect the conference system to a laptop or document camera, open the door on the front of the cart and use the VGA input cable that is coiled in the bottom of the cart.

If the videoconference will have people connecting by phone, connect the phone cable (coiled up behind the monitor) to the rooms phone jack.

TIP:  For the best video quality, it is always best to close the blinds in a room before the meeting.

Connect the network cable (coiled up behind the monitor) to the data jack in the room. On campus, the data jacks are labeled with the room number, then a letter A or B. For Example, the data jack in RHPH 554 would be labeled 554-A or 554-B. Below is a list of active jacks.
RHPH G48-A
RHPH 172-A and 172-C
RHPH 164-A
RHPH 550-A
RHPH 552-A
RHPH 554-A

Be certain you are not plugging the network cable into a phone connection, E.G., 554-1. Doing so MAY DAMAGE the unit.

Powering the System

  1. Open the cabinet and make sure the power strip located in the top position of the rack is turned on.
  2. Turn on the monitor using the power button located on the right side and set the volume to mid-level.  YOU MUST ALSO use the Polycom remote control and  set the volume on the Polycom unit.  If the volume on the TV is up and the volume on the Polycom is down, you will hear no audio from the remote location.
  3. Make sure the Conference unit is on. You should see a blue light on the unit mounted in the rack. If there is no blue light, press the power button.
    After about 30 seconds, you should see the Polycom logo appear on the monitor and the camera should run through a self test. 
  4. Once the unit is powered on, it will start searching for the local area network.

  5. It should only take the unit a few seconds to find the network.
